View multiple slides during your PowerPoint show

During your slide show, you can view the current slide plus the ones coming up next (or before). If you have bullets set to appear with the next click, you'll see the upcoming bullet. If you've added speaker notes, you'll see them too.

Your audience will only see the current slide. To set this up in PowerPoint 2003:

  1. Click the Slide Show menu, Set Up Show.

  2. In the Multiple monitors section, tick the box next to Show Presenter View.

  3. Launch your slide show to see the results (either if you use two monitors or when you're connected to a projector).

Save a PowerPoint slide as a picture

You can use PowerPoint to create a postcard, ad, or brochure you want to email.

  1. Create a slide in the desired size.

  2. Click the File menu, Save As.

  3. In the Save as type list, select the graphics format you want (e.g., JPEG), and then click Save.

  4. In Outlook, create a new email message.

  5. Click in the body of the message, then click the Insert menu, Picture, Browse to find the file you just saved. Then click OK.

Once the picture is in the body of the email, you can create a hyperlink that jumps to your Web site (select the graphic, then click the Insert menu, Hyperlink, add your Web site, OK).

Anonymous e-mail messages

If your e-mail address looks something like a11sm2b@freee.com, and you have no signature line that identifies you, you're missing out on a great marketing opportunity, and you're lessening your chances of receiving a response (because your message is resembling junk).

Let people know who you are!

Send an email message to yourself to see how you look to others.

On email messages that I send out, they appear in the recipient's Inbox as Peggy Duncan, Personal Productivity Expert. How did I do this? Easy in Outlook (I'm using Outlook 2003. Your email client might have a similar feature).

  1. From the Mail folder (Inbox), click the Tools Menu, E-mail Accounts.

  2. Choose View or change existing e-mail accounts, Next.

  3. Click the email account you'd like to change, click Change.

  4. Type your name and any desired text in the Name textbox under User Information (this information can be different for each Account).

  5. Repeat these steps for each of your email accounts.

In addition, my automatic Signature gives correspondents all the information on my company, plus a link to my award-winning Web site! 

Take time now to create an automatic Signature.

  1. From the Mail folder (Inbox), click the Tools Menu, Options.

  2. Click the Mail Format tab. At the bottom of the dialog box, click Signatures, New.

  3. Give your signature a name, and click Next.

  4. Either type a simple Signature in the textbox in Outlook or click Advanced Edit to use Word to create a more detailed signature.

  5. Click Finish, OK.

  6. Just above the Signatures button, click the drop-down box and choose the Signature you want to use with each new message and with each reply and forward. Then click OK.

From now on, when you create a new message, your Signature will appear.

 

The next time you come back to Freelance Forum to speak, there will be many more hands raised when asked "How many of you implemented changes"... Mine will be one of them. I came home and got my time sheets in order for starters. Then moved on to project folders with fasteners in them. Life began improving immediately!!

My desk is an absolute mess! I spend most of my time looking for stuff, and feel so embarrassed when anyone asks me for something. I really want to get organized, but I just don't know where to start. Can you help me?


 I can help you because you said something very important--you said "I really want to get organized..." So let's get started.

One day this month, clear your  calendar, dress comfortably, turn off the phone, and close the door. As of today, you have my permission to throw out all the junk. To make this process bearable, you'll need the right supplies, including: 

1.  Garbage bags. 
2.  Envelopes and mailers, shipping labels, stamps, and a postal scale. 
3.  Fax cover sheets. 
4.  Calendar/PDA. 
5.  Company and other business directories. 
6.  Highlighter. 
7.  Clear plastic folders labeled as follows: To Do, To File, To Fax, To Copy, To Read, To Type/Write, To Pay. 
8.  Tickler (follow-up) file. 
9.  Spiral notebook (your To Do book). 

Starting the Process 
 Move the piles to one side of your desk, and put your supplies on the other side. Pick up each piece of paper and make a quick decision about it. Make the garbage bag your closest ally during this process. Here are some things you might come across. 

1.  A notice of a meeting you'd like to attend. You have your calendar right there, so schedule it. Then put the paper in your tickler file for the day of the meeting. 

2.  A project you need to work on that's due next month. Schedule time on your calendar to work on it, highlight the due date, and put it in your tickler file for the day you've scheduled to work on it. 

3.  A document you need to file. Instead, ask yourself: will I need this information again? Can I get this information somewhere else if I happen to need it? If I throw it away and then need it, what's the worst possible thing that could happen? 

4.  Several reports and books borrowed from people. Put them all in envelopes, address them, weigh them and affix the postage if necessary, and put them in your Out box. 

5.  Work you should do this week. Batch similar work together and keep it separated in your plastic folders. If everything you need to copy is in your To Copy or To Fax folder, you can make one trip to the copier/fax later. IF you come across something you can do quickly, say a couple of minutes, go ahead and do it.

After you finish sorting, purging, and merging, you'll need to set up systems for everything. Use basic principles of organizing by giving everything a home, putting like things together, and using the right product to store it.

Keep going with this process as long as you can stand it. Take breaks if you need to, and be proud of your efforts. 

Getting rid of clutter is exhausting, but you can do it. To keep the clutter from coming back, you'll need to set up a filing system that is easy to maintain.
