Signing documents without printing them first

I rarely print email or their attachments. When I receive something I have to sign, here's what I do.
 
Word 2003 document: I have a graphic of my signature saved as an AutoText entry in Word. Anytime I need it, I type the name I gave the entry, press F3, and my signature pops in at the insertion point.

(To create this, scan your written signature into your computer and save as a graphic. Open Word and click the Insert menu, Picture, and insert this graphic. Once the graphic is displayed on the page, select it. Then click Insert, AutoText, New, give it a simple name, OK.)

 
PDF: I saved my same graphic as a signature in Adobe Acrobat and insert it whenever I need it. This was trickier that creating it in Word. Here is an article that explains how to do it.
 
I also check with the client to make sure a graphic of my signature is acceptable...it's no different from a faxed document they'd print. I save the document electronically.
 
Am I worried that someone will save the graphic and use it? No. Because if I mailed or faxed the document, they could scan my signature and do just as I did.

Rename your digital photos by the batch

With one click on my digital camera's docking station, I'm able to load photos into my computer. But they come in with weird names that tell me nothing about what the photo is about.

 

I could purchase software that will enable me to rename my digital photos by the batch. But why spend the money when I already have that capability for free?

 

With Windows XP, you can rename the photos in a folder all at once. The names of all the photos in that folder will be the same except for a sequential number added at the end (e.g., Chris11thBdayParty1.jpg; and you'll get Chris11thBdayParty2.jpg, and so on).

  1. Click the Start button, My Pictures, and locate the folder with the pictures.
     

  2. With the folder open, select the photos you want to rename. (Or click the Edit menu, Select All or press Ctrl+A).
     

  3. With the files selected, right-click one of them, Rename it, putting .jpg at the end (or some picture file format).
     

  4. With the new name still in the renaming bracket, press Enter (or click off the filename). Each photo should have the same naming convention plus the sequential numbers.
     

  5. While you're at it, rename the folder a sensible name too.

Note: When I preview pictures in Microsoft Office Picture Manager, this technique works here too.

Cures for email addiction

I love email, and I'm tired of it getting a bum rap. I don't want to be away from it, but I can walk away when I need to. If you’re hooked on email and find yourself checking it even when you’re working on something important and need to stay focused, it's time to break the habit.

  • Clean out all that mess! Stop keeping junk in the Inbox that you will never need again.

  • Take the computer offline or shut it down if you don't need it to work.

  • Make the default view in Outlook the Calendar (or Tasks).

  • Turn off the option of automatically checking for incoming messages.

  • Deactivate the new message alert (the ding).

  • Cancel the New Mail Desktop Alert.

  • Make it inconvenient to open Outlook. Remove Outlook from the System Tray (to the right of the Start button).

  • Work on one computer and use another one for email.

  • Leave the BlackBerry at work or in the car, or box it up and ship it to yourself with 3-5 day ground delivery.

  • Find something else to do and commit to it.

  • Concentrate on breaking the habit by retracing your steps to get back to what you were doing before you checked email.

  • Establish a routine for checking that works for you, but one that also suits your boss and peers.

Start now and do everything you need to to break the hold email has on you. If you do nothing else, clean out all that mess in your Inbox. You'll begin to feel more in control, more on top of things, and the urge to constantly check email will begin to subside. If it doesn't, call Dr. Phil.
