Find out where your Favorites are saved on your computer

To find where your Favorites are stored:

  1. Double-click My Computer, double-click the C: Drive, double-click Documents and Settings.
     

  2. Double-click on your username folder.

You should see your Favorites folder. Back this up.

Find your Outlook.pst file so you can back it up

  1. From inside Outlook, click the File menu, Data File Menu.
     

  2. Select Personal Folders, Open Folder.
     

  3. Right-click on the Outlook.pst file and Send To desired location (this file could be huge because it's everything in Outlook (mine is over 200 MB. Right-click file, click Properties to find out).

Which files should you back up?

If you're responsible for recovering data in the event of a disaster, make a plan.

In addition to having the means to back up your data (external hard drive, flash drive, online vaults), you should also have a plan for knowing what to back up and when.

The files below are all automatically backed up to my online vault every time they change. I use Carbonite for peace of mind. I am especially keen about how Carbonite keeps my files organized the same way they are on my computer. (As an additional precaution, files are also backed up to my external hard drive every day.)

Here is what I back up.

My Documents Folder: My two main business folders are subcategorized into broad categories, then separated into smaller subcategories. Keeping like subjects together makes it easier to back up everything (and to find anything I need later).

Outlook Files: You can back up Outlook to include your contacts, emails, calendar, tasks. The path to my Outlook files is at C:\Documents and Settings\Peggy Duncan\Local Settings\Application Data\Microsoft\Outlook). You'll want to back up the Outlook.pst file.) You'll also want to back up your signatures and rules if you've set them up.

Templates: If you create any templates (with the .dot, .xlt, .ppt extensions), they're automatically saved outside of the My Documents structure (mine are at C:\Documents and Settings\Peggy Duncan\Application Data\Microsoft\Templates). I added this location to my Favorites so it would be easy to remember.

To find out where your templates are stored, in Word, click the Tools menu, Options, File Locations tab. Double-click the location that reads User Templates.

Downloaded Programs: These are miscellaneous applications I've either purchased or downloaded for free. I don't have the CD. Instead of saving these in the same folder as the Programs folder, I put them in a separate folder called My Downloaded Programs.

QuickBooks: All of my bookkeeping information is backed up every day.

Favorites. I've bookmarked some great sites and don't want to lose the easy access.

Pictures. Pictures I use on my Website are safe on the Web server. All others are saved in the My Pictures folder which is automatically backed up every day.

Special Projects. I'm working on my family tree with the software Family Tree Maker. Wouldn't want all that work to get lost.

Simplify your life, and make data recovery one less thing you have to worry about. If you don't think you have time to deal with this now, how will you find time to recover later?

Is the BlackBerry making you lose your mind?

I know you love your BlackBerry, and I know you think you're getting so much more done. You are so wrong that it's just pitiful.

I knew people were losing their minds when I saw an organist at a funeral playing with one hand while he was thumbing with the next. And I was livid when, at a recent conference, someone who was asking me for help stopped in the middle of my explanation, held up his finger (to indicate "stop, I need to get this"), and answered the phone while I was standing there...mid-sentence. I walked off.

You are not 911 or 4th tier tech support. You do not have to be available every time something dings or buzzes. You're constantly interrupting yourself from important work, and you're not taking time to think!

Doing email on the fly without thinking it through. It's so frustrating when I send someone a reasonable, well-written email message, only to receive a thumbed response that's nowhere near addressing my requests. It's such a waste of my time having to send another email saying "What about the other two questions I asked?"

This is business, and email often requires more than a yes or no answer.

Sleeping with the BlackBerry under your pillow and answering emails 24/7. This is just ridiculous. If you are so addicted to email that you're doing this, box the darn thing up and ship it to yourself, 3-day ground delivery. Life will go on.

Thumbing when you should be thinking. Knowledge work requires a clear mind so you can think. Focus on what you're doing so you can do your best work. Then move on to something else. Schedule time to manage email.

Thumbing when you should be listening. Time spent in meetings is a bigger waste because no one's listening. And how does your family feel when one eye is on that thing in your hand? Having lunch with someone? Leave it in the car.

Revisiting messages you've already seen or half responded to. The Inbox is even more bloated because you'll look at the message, send a quick, useless response, and that's about all you can do with it. Are you only responding to email or are you providing solid answers?

On the contrary, if you're in front of your computer (or use a Pocket PC) you can manage email, handle things as they come in, delegate responsibly, send people what they're asking for, drag from the Inbox to the Calendar or Tasks, etc.

You can do email on the BlackBerry, but you can't manage it. Are emails flying back and forth with scripted notes, or are you handling your business?
